HERITAGE LAKEWOOD POLICIES & PROCEDURES
RENTAL HOURS & MINIMUMS
A three-hour minimum rental period is required for all events. Rental time must include setup and cleanup. The rental space is also available for the wedding rehearsal and is limited to one hour. Advanced arrangements must be made.
PAYMENT & DEPOSIT
A $250 security deposit is required to reserve the event date. Rental fees and deposits are subject to the terms outlined in the Facility Rental Agreement.
CANCELLATION POLICY
Venue must be notified thirty (30) days in advance of the cancellation of a scheduled event for a fifty (50) percent refund of the rental fee and security deposit. Cancellations received less than thirty (30) days before an event will result in the forfeiture of the full rental deposit.
ALCOHOL POLICY
Alcohol is permitted with an approved permit and a $150 fee for each three-hour rental time block. Permit requirements must be completed in advance of the event.
CATERING & VENDORS
Renters may use any vendor of their choice, including caterers and rental companies. Vendors must check in at the Visitor Center and comply with site access and delivery procedures.
TABLES, CHAIRS & RENTALS
For outdoor events, tables and chairs must be rented through a vendor of the renter’s choice. For indoor events, tables and chairs are available with optional setup and tear-down service for a flat fee. Large tents measuring more than 10’ x 10’ must be inspected and permitted by West Metro Fire Department. Ground staking of tents is not allowed.
SETUP, ACCESS & VEHICLES
Setup times and delivery schedules must be arranged at least two weeks prior to the event. Vehicle access is limited and must be pre-approved. Only a limited number of vehicles may enter the property for loading and unloading, and parking on-site is not reserved for private events.
DECORATIONS & EQUIPMENT
Nothing may be taped, stapled, nailed, or attached to buildings or property. Signs are not allowed without approval. The following are prohibited: glitter, confetti, stickers, smoke machines, pyrotechnics, candles, open flames, and ground staking. Large tents may require inspection and permitting. Propane grills are allowed; charcoal grills are not.
PARKING & ACCESSIBILITY
140 parking spots are available but are not reserved for private events. The Visitor Center is staffed during rental events, and renters must check in with staff upon arrival.
FACILITY USE
Music must remain at reasonable noise levels and not disrupt other users of the venue. Renters must stay on designated roadways and parking areas and may not remove tables from other areas of the property.
CLEANUP & CONDITION OF FACILITY
Cleanup must be completed within the rental period. The facility and grounds must be left in the same condition as found. Excessive cleanup or damage may result in deductions from the damage deposit. Report any noted damages to facility personnel.
DEPARTURE CHECKLIST
Renters must remove decorations and personal items, return furniture to original locations, dispose of trash properly, and clean all used areas, including kitchen spaces. Ice must be disposed of on cement surfaces rather than grass. Floors must be swept and/or vacuumed.
